1.0. Introduction

Founded in 2000, Global AIDS Interfaith Alliance (GAIA) is a fully registered Non-Governmental Organization in Malawi. GAIA's aim is to provide health services, targeting prevention, care and support in rural communities in hard-to-reach areas affected by HIV/AIDS, TB and Malaria. In addition, GAIA is committed to strengthening the Malawian health system for the long term, through the GAIA Nursing Scholarship program and Mobile Health Clinics.

GAIA seeks to pre-qualify legally registered vendors that are reliable, competent, and experienced enough to supply various goods, supplies and services for the calendar year April 2026 through March 2027.

GAIA invites applications from interested suppliers who wish to be shortlisted for our list of pre-qualified suppliers for the following

06Safety Equipment and Protective Wear e.g. rain coats, boots, backpacks, reflective gear, etc.
07Renovations (electrical, carpentry, plumbing and welding) - Blantyre, Mulanje, Phalombe, and Mangochi
08Office Cleaning, Fumigation and Disinfection services (both inside and outside) in Blantyre, Mulanje, Phalombe, and Mangochi.
09Security Services (Guarding) – Blantyre, Mulanje, Phalombe, and Mangochi.
10Motor Vehicle & Motorcycle Maintenance services (Toyota, Nissan, KIA, Mitsubishi, Honda, Yamaha)-Blantyre, Mulanje, Phalombe, and Mangochi
11Removals and Relocation Services.
12Office Furniture eg office desk, chairs, filing cabinets, shelves, etc.
13Insurance Services (vehicles, property, equipment).
14Construction/Renovation (up to MWK100M).
15Branding Services (Branding T-Shirts, Embroidery, Banners, posters, Zitenje etc).
16Hardware Items (Plumbing, Welding, Paint, etc.).
17Photography services (videography, still pictures, documentary, etc)
18Language translation, e.g., written, audio
19Food items and groceries, e.g. cooking oil, soap, sugar, etc
20Tailoring services, e.g., nurses' uniforms.
21Medicines/drugs
22Surgical materials.
23Auto-spares eg. tires, triangle plates, Jack, steering cover, mates-Blantyre, Mulanje, Phalombe, Zomba, and Mangochi.
24Taxi services-Blantyre, Mulanje, Phalombe, Zomba, Mangochi, Lilongwe, and Mzuzu.
25Conference package (hall hire, lunch and Refreshments for Meetings and Workshops) - Blantyre, Lilongwe, Mzimba, Mzuzu, Mponela, Mangochi, Kasungu, Mulanje, Chikwawa, Nsanje, Dowa, and Thyolo

Eligible suppliers should include the following information

1. Company Profile.

2. Physical Address.

3. Valid Contact Numbers.

4. Registration Certificate or Certificate of Incorporation.

5. MRA Tax Certificate (TPIN letter).

6. VAT Certificate.

7. Withholding Tax Certificate.

8. ODPP (PPDA) Registration Letter.

9. NICC Certificates for contractors.

10. List of References for relevant works done in the last 2 years (name of dient, contract amount, contract period, and description of goods/ services supplied)

11. Indicate whether or not the supplier will accept LPOS

Applicants may apply for one category or several categories. Note that every application for any category should be in a separate document/envelope.

Completed applications need to be submitted in a sealed envelope clearly marked "Pre-Qualification of Suppliers for Goods and Services - Lot Number." They must be deposited in the Tender Box at the GAIA Limbe Offices Reception on or before 13th March, 2026, at 12 noon:
